How to use it
- Download the transactions from your bank as CSV, OFX, QFX or QBO.
- Drop the file in above and read the checks.
- Type the opening and closing balance from the statement for the same period. If they match, nothing is missing.
- Fix what's flagged (or download the file again for the full date range), then import.
Why check before importing
Accounting software imports whatever is in the file. If the export range stopped a day short, a row was repeated, or the signs came out reversed, it all goes in, and the problem surfaces weeks later as a reconciliation that won't balance. Checking the file against the statement takes a minute and catches it while it's still easy to fix.
Questions
- Doesn't Xero or QuickBooks check the file when I import it?
- They check that the file can be read, not that it's complete. A CSV missing a page of transactions, or with a row repeated, imports without a warning. You only find out at reconciliation, when the balance doesn't match the statement.
- What does this check?
- That every row has a readable date and amount; that the running balance adds up row by row (when the file has a balance column); rows that appear twice; repeated or missing FITIDs in OFX, QFX and QBO files; long gaps between dates; and, if you type in the statement's opening and closing balance, that the transactions add up to it.
- Which banks and formats work?
- Any bank CSV with a date column and either one amount column or separate money in and money out columns, with comma, semicolon or tab separators and dates either way round. Headers in English, Spanish, Portuguese, French and German are recognised. OFX, QFX and QBO (Web Connect) files work too.
- Two rows are flagged as duplicates but they're real. Is that a problem?
- No. Two coffees of the same price on the same day look identical in a bank file. The check only points them out so you can compare with the statement; if they're both there, import them both.
- Is my file uploaded?
- No. The file is read and checked in your browser. Nothing in it is sent to our server.
